You may know that I’ve been trying to find a solution for club cards for quite a while. Kids generally don’t mind filling out the card, it is the next step that is difficult… Getting the info to all the leaders in a way they can use it. Last year we would just put a leader’s cell phone (one for guys, one for girls) on the screen during announcements and then had a contest for new kids to text first for a prize. That worked OK.
I’ve come up with a way to have kids input their info on their phone during club and then it automatically updates in all of our leader’s phones. Pretty cool huh? So, a new kid may be sitting in club, and when they submit their info, it automatically updates in the phones of all the leaders sitting next to them. Then leaders can follow up in the following days and thank them for coming, invite them back, etc. (This will also help in the mass exodus by teenagers away from Facebook) I realize this will only work if all of the people involved have smart phones that can get on the web. If I have time in the future I have an idea how to make it work purely by submitting a text message, but that is a little more complicated and I don’t have the time at the moment.
I will also warn you that for some of you this may be a little involved, and unfortunately I can’t provide tech support for this. Others of you will have no problem with this. It utilizes the free services Wufoo, Zapier, Google Contacts, and Celly.

Hey! This is really awesome. We have so many different systems to input kids contact info. We put them into a Google Doc., into our Emma Account db, into our EZ Texting Account db and into our Send Out Cards Account db. I’m curious about the WuFoo as opposed to a Google Doc. Does it sync better with Zapier? Or is it mobile phone accessible (more so than a Google Doc?)
Jim, thanks for your comment. Wufoo really just serves as an easy and convenient way to enter the information. Zapier is the thing that connects them all. Zapier has a lot of services it works with but I don’t think it works with those you listed. Would this be better than trying to use a google form to into google contacts? We’re in the middle of setting this up for use in January 2014. Trying to avoid having multiple accounts so I can have a leader take this on and just use our google docs account.
I’m sure there is a way to automatically link a Google Form with Google Contacts but I haven’t looked into it. That is the step I’m using Wufoo and Wapier to do automatically. Let me know if you find an easier way! Hope all is well Dougie!

You can totally do this with a google form->zapier->google contact pushed to leaders phones. We’re using google docs on the younglife.ca domain to keep track of some stats so thanks for the idea of getting contacts out to our leaders in an easier fashion.
